1. Role and Scope of Position:Responsible for providing a variety of administrative and executive support duties within Internal Audit and Security and for ensuring the efficient organization and operation for the VP of Internal Audit and Security. Works independently to perform daily office activities and procedures that include proofing and issuing audit reports and investigations, ordering materials, scheduling meetings and events, and providing overall administrative support for the executive. Individual must be a highly trusted partner responsible for exercising confidentiality, tact and diplomacy. Accountable for instituting and conducting all phases of office procedures, coordinating and organizing projects for maximum efficiency and implementing creative improvements for better management workflow.
2. Essential Functions:
- Organize, develop and product the quarterly Audit Committee materials.
- QA and issue all formal work products produced within Internal Audit and Security.
- Arranges meetings, appointments, and travel; controls calendar and workday; Screens and prioritizes requests for executive’s time
- Coordinates, composes and prepares materials/agendas/reports as required.
- Manages correspondence and personal contact with the Executive by maintaining current awareness of priorities and personal preferences:
- Maintains close contact with other EAs, department managers within and across other organizations to stay aware of significant activities and events. Manages the coordination of cross-functional projects, assignments, etc.
- Analyzes organization’s administrative practices, recommends creative ideas, then implements strategies to improve office workflow.
- Creates and maintains sophisticated computerized data documents to support (and report on) organizations’ daily operation.
- Contributes to organization’s success by providing efficient, high quality customer service, to all internal and external constituents.
- Uses formalized team approach to provide assistance to colleagues and managers.
- Technical Knowledge/Skill/Education/Licenses/Certifications:
Technical Knowledge/Skills:
- Demonstrates a record of high-performance standards and strong organizational skills
- Excellent interpersonal and oral and verbal communication skills
- Ability to work independently
- Ability to manage multiple priorities, maintain confidentiality, and operate with poise and
- Demonstrated expertise with Microsoft Programs (Outlook, PowerPoint, Excel, Word, etc.)
Education/ Experience:
- High School Diploma with advanced business school/secretarial training or equivalent
- Associate degree preferred
Experience:
- Minimum of seven (7) years demonstrated executive secretarial experience or equivalent.
Licenses & Certifications:
- Certification in secretarial science preferred
Working Conditions:
- Must be available to work emergency restoration assignment as required.
- Must be available to travel between MA/CT/NH as necessary.
